CIRMA is currently seeking an Executive Administrator to provide high level administrative support to the CIRMA executive team. This position coordinates the administrative workflow between the President & CEO and CFO and the senior management team acting as liaison with staff ensuring the smooth operation of daily operational activities. Maintains a wide variety of complex documents, files and records for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines, SOP’s, and legal requirements. Provides meeting support for the CIRMA Executive Management Team meetings and the CIRMA All Staff Meetings. Provides the agenda, produces minutes of meeting and coordinates follow up associated with these meetings.

Assist with the activities relating to the CIRMA Board of Directors and various committee meetings, including assisting with the development of agendas. Reviews and edits materials to be included in the Board packets, works with the CEO and the senior management team to finalize packets. Attends the meetings. Takes meeting minutes, and monitors completion of Board related activities. Assist with the coordination of CIRMA’s annual corporate insurance renewals such as business insurance, cyber, DOEO, Trustees, Fiduciary Liability and Insurance Company Bond. Manages the gathering of company information, monitors the progress and ensures completion within established deadlines. Assist with the coordination of CIRMA’s annual financial audits as well as the Connecticut Insurance department audit. Monitors the progress and ensuring completion within established deadlines. Manages special projects as assigned and is the liaison between the President & CEO staff, and at times external consultants. Assist the Marketing team with the coordination and management of the CIRMA Annual Meeting. Performs additional responsibilities as required.

The skills and knowledge required would generally be acquired with an Associate’s degree and/or business certification, with at least five to ten years high level experience in an administrative function in the insurance industry, or an equivalent combination of skills and experience.

Thorough knowledge of organizational administration, office systems, workflow processes, records management, and related high level administrative systems. Ability to adapt and optimize technology. Energetic and willing to work with purpose. Ability to identify and determine priorities and meet established deadlines.

Strong ability to communicate effectively in writing and oral. Thorough knowledge of English composition, grammar, punctuation, and spelling.

Excellent organization and time management skills and attention to detail. Be able to produce work results with strong quality control.

Ability to handle multiple projects and priorities and to work effectively under tight deadlines. Ability to deal effectively with and supervise the work of others. Ability to train, motivate, and evaluate staff.

Knowledge of Windows software, including Excel, Word, Outlook and PowerPoint. Ability to learn new applications.
